Accepting ACH | eChecks and balancing to your bank

If you accept ACH | eCheck payments via your merchant account, the settlement process will be different than for credit cards. Any ACH payment record will be recorded in ASAP as a Payment Type = ECHECK. This will signify an ACH payment. 

There is a delay in the arrival of the funds for ACH processing, similar to, but not the same as, for credit cards. Example:

Transaction processed on 1/13/2015 for $10.00 via ECHECK.

The batch notice from the merchant account may count that transaction in:

  • 1/13/2015 if it was done early enough in the day
  • 1/14/2015 if it was done later in the day on the 13th
  • 1/15/2015 if the 1/13 or 1/14 was a holiday or weekend. 

The deposit to your bank account for the ACH batch will then occur and show in your bank account on the day after the batch settles and possibly the 2nd day after settlement. 

The best way to reconcile to the ACH batch deposit is to run a transaction report for each ACH batch settlement and compare those transactions to the ASAP Transaction Report or ASAP Cash Receipts Report, looking at the ECHECK transactions. Until you have solid understanding of how and when the ACH batch settles each day, we recommend you run the Cash Receipts or Transaction Report for a bigger date range (example: 36 hours) and use the data to determine which ECHECK transactions are included in the batch deposit. Once you understand how the ACH batch settles, you can minimize the reporting range and still balance to the deposit.
